What we do

Aegis Workforce provides workforce infrastructure — recruitment, training, monitoring and replacement cover — for leisure and commercial cleaning operators across England & Wales. To do that we handle personal information about three groups of people: businesses we contact about our services, people who enquire through this website, and the workers who join our workforce.

What we collect, why, and our lawful basis

1. Businesses we contact about our services

We contact gyms, leisure sites and facilities operators that may benefit from our cleaning-workforce services. For this we hold business contact details — the business name, a business email address and phone number, publicly available role/contact information, and (where relevant) publicly posted customer reviews about a site's cleanliness that we may reference in our first message.

What we collectBusiness name, business email, phone, publicly listed contact/role information, and publicly available review text about a venue.
WhyTo introduce our services to businesses we believe have a genuine potential need — business-to-business marketing.
Lawful basisOur legitimate interests (UK GDPR Article 6(1)(f)) in growing our business by contacting other businesses. We have weighed this against your interests in a documented assessment. Marketing by email to corporate subscribers is also carried out in line with the Privacy and Electronic Communications Regulations (PECR).
Your controlEvery message tells you how to opt out, and we act on it immediately (see "Opting out" below). You can also object at any time.

Where we obtain a contact from a third-party business-data source rather than a public listing, we only use sources that confirm the data was gathered lawfully, and we tell you where we got your details if you ask.

2. People who enquire through this website

What we collectThe name, phone number, email address and message you submit through our enquiry form.
WhyTo reply to your enquiry and discuss providing our services to you.
Lawful basisTaking steps at your request before entering a contract, and our legitimate interest in responding to enquiries.

Our enquiry form uses Cloudflare Turnstile to block automated spam. This performs a lightweight browser check and does not track you across other websites.

3. Workers who join our workforce

If you are recruited and onboard with us, we collect the information needed to engage you and to meet our legal duties as an employer/engager: your identity and contact details, right-to-work documentation, tax and payment information, emergency contact, and records of training completed and shift/quality checks.

WhyTo take you on, pay you, deploy you to sites, meet right-to-work and tax obligations, and maintain the quality standard our clients rely on.
Lawful basisPerformance of our contract with you, compliance with our legal obligations (e.g. right-to-work, tax), and our legitimate interests in running and assuring the workforce.

Public reviews we may reference

When we first contact a venue, we sometimes refer to a genuine, publicly posted customer review about that venue's cleanliness (for example a Google review). This may include the words a reviewer wrote, though we remove reviewers' names. We process this public information under our legitimate interests to give an honest, specific reason for getting in touch. Because these reviews are already public and there is no practical way to contact every reviewer individually, we rely on the "disproportionate effort" exception in UK GDPR Article 14(5)(b) rather than notifying each reviewer. If you wrote such a review and would like us not to use it, tell us at info@aegisworkforce.co.uk and we will remove it.

Who we share it with

We do not sell your personal information. We share it only with service providers that help us operate — for example our website host, email and customer-management systems, and payment/accounting providers — and only so they can perform that service for us under contract. We may disclose information where the law requires it. Some providers may process data outside the UK; where they do, we rely on the safeguards required by UK data-protection law.

How long we keep it

We keep personal information only as long as we need it. If we contact a business and there is no interest, we keep a minimal record so we do not contact you again. Enquiry details are kept while we deal with your enquiry and for a reasonable period afterwards. Worker records are kept for as long as you work with us and for the periods the law requires after that.

Your rights

Under UK data-protection law you have the right to: ask for a copy of the information we hold about you; have it corrected; have it erased; object to or restrict how we use it; withdraw any consent you gave; and ask for portability of data you provided. To exercise any of these, email info@aegisworkforce.co.uk — it is free and we will respond within one month.

Opting out of our messages

Every marketing email we send includes a one-click unsubscribe and an instruction to reply "unsubscribe". Either one removes you straight away and permanently. You never have to explain why.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) — ico.org.uk, helpline 0303 123 1113.

Changes to this notice

If we change how we handle personal information we will update this page and the "last updated" date above.
